Renting School Facilities

• Submit a request at least two (2) weeks before your event (60 days for gyms, stadiums, or athletic fields).
   
• Submit the completed Facilities Use Form to the school principal, who will review and forward your request to the WCPS Office of Facilities Management for final approval and any associated fees.
   
• You’ll be notified when your application is officially approved. Do not consider your use confirmed until that notification is received.

• Facilities are available only when not in use by the school.
   
• Use may be denied or revoked if regulations are not followed.
   
• If cafeteria facilities are needed, WCPS food service staff must be present.
   
• Cancel at least 24 hours in advance to avoid a cancellation fee.

• Private parties, yard sales, animal events, camping, or motorized vehicle use
  • Individuals may rent gymnasiums at Maugansville Elementary, Pangborn Elementary, Rockland Woods Elementary, and Ruth Ann Monroe Primary School for private parties by reserving through the Washington County Parks & Recreation Department.
     
• Gym use for baseball, softball, lacrosse, or soccer
   
• Activities during inclement weather closures or emergencies
   
• Overnight outdoor use

• A WCPS custodian must be on-site during all building use.
   
• Custodial and security services will be coordinated through the school and may incur additional fees.
   
• Applicants may be required to provide liability insurance and agree to reimburse WCPS for damages or cleaning.

• Fees are based on the type of use and whether special services (custodial, food service, security, utilities) are needed.
   
• A deposit may be required, especially for stadium use.

If your request is denied or you wish to dispute fees, you may submit a written appeal to the Assistant Superintendent for School Operations.
